Like Airtable, Stackby is a no-code online spreadsheet and database solution for businesses. It’s very similar to Airtable in a lot of ways, albeit a bit more user-friendly for those who don’t want to customize every single element.

The platform has more than 500 templates for just about every use case you can imagine.

As an added bonus, it has one of the best free plans on the market. You’ll get unlimited tasks, projects, and messages plus the ability to collaborate with up to ten team members at no cost. Every plan also includes Kanban view, calendar view, and list view of all your tasks.

This Notion template is built specifically for agencies. If you’re managing content for multiple clients, you can easily create a new space for each one and customize their client-specific needs from there.

For example, one of your clients might want you to cite sources a specific way and only use data from the past year. Another client may specifically ask you to publish three new posts on LinkedIn per week, and a third client may not be super particular about anything.

How to choose the right content operations template

There’s a lot of variation from one template to the next. Some are simple and lightweight, others are highly customizable systems with dozens of views and tables to keep track of different types of items.

Keep the following criteria in mind as you make your final decision:

  • Operations complexity: Simple content operations can likely be defined in a one or two-page template, while complex flows need something more advanced.
  • Built-in project management: Determine if you just want to use a one-off template to outline your operations or if you want to continue managing content production from the same platform.
  • Team size and scalability: Some templates are fine for individuals and small teams, and others are built for multiple departments that collectively work on content at a high volume with a lot of moving parts.
  • Intake requests and content briefs: Not every template comes with intake forms and/or project briefs, both of which are nice to have — especially if you regularly get content requests from outside teams or clients.

The best way to make sure you have the right one is to shortlist a few, download them, and try them out. A lot of the decision comes down to personal preference, so it’s a good idea to see them in action before choosing.

What’s the difference between content operations and content strategy?

Operations and strategy are important pieces of creating an effective marketing plan. Although they sound similar and are closely related, they’re not the same thing.

A content strategy identifies big-picture goals and plans for your content itself. Content operations refers to how you’ll get the work done. Going after organic traffic to drive conversions could be part of your content strategy whereas operations includes the team, tools, and resources you’ll need to make that happen.

What is the content operations lifecycle?

The content operations lifecycle defines your process for all the content you produce. It’s typically broken down into five stages:

  • Planning: Aligning concepts with your overall strategy.
  • Creation: Processes for writing, recording, designing, filming, and editing.
  • Distribution: Channels you’ll use to get your content in front of the right people.
  • Analysis and optimization: Monitoring key metrics and iteratively making updates.
  • Archiving: How and where you’ll store old, legacy content.

Content operations templates help you streamline and organize business processes throughout the entire operations lifecycle. Some may focus on specific stages while others are all encompassing.

The best for you depends on how detailed you want to get, how advanced your operations are right now, and where you want to go from there.

How to create a content operations framework

A content operations framework — also called ContentOps — outlines official documentation for creating, managing, and distributing content for your business. It covers everything from the people involved to the tools you use to execute your strategy.

Using a formal content operations framework ensures your team is aligned and your processes are easily repeatable, no matter who performs them.

I’ve built and scaled content operations for multiple businesses, and this is how I approach a ContentOps framework.

Roles and responsibilities

The first step is defining roles for every person involved. A good place to start is answering the following questions:

  • Where are new content ideas coming from?
  • Who is responsible for creating what types of content?
  • Who owns the entire process from start to finish?
  • What is the chain of command?

It’s important for everyone to understand their roles and responsibilities. This also means knowing how content flows through your system and what they should or should not be doing at every step of the way.

For example, can a writer request a custom image from a designer? Is the person filming your videos responsible for editing them and uploading them to YouTube?

All of this stuff should clearly be communicated and easily accessible to your team.

Processes and workflows

There should be a clear, linear path for everything you produce.

An editor should know exactly what to do with an article once they’re done with it, for example. They should also know how to edit it, including style guide requirements and other elements they need to look for.

Writers should know how much time they have to write a post once it’s been assigned.

The same is true for whoever handles content when it’s ready. What happens after it’s published? Does it need to be added to your weekly email or promoted on social media? What about content updates? Who decides when those happen?

There are a lot of different workflows you should clearly define. It’s okay if you miss some — if you’re doing things right, you probably will.

Once you reach a moment of uncertainty, you should document it and clarify what your team should do.

Technology stack

Your team needs to know what tools you’re using to produce content and communicate with each other.

For example, your ContentOps tech stack could look something like this:

  • Slack for internal communication.

  • Airtable for tracking revenue.

Executives and department leaders should regularly come together and agree on high-level strategy, your approach to content, how you handle discrepancies, and how often you review everything together.

This ensures your team doesn’t have to have every piece of content approved. Instead, they have a set of best practices they’re expected to follow.

As long as those requirements are met, execs and leaders shouldn’t be questioning micro-level decisions. It’s a win-win for everyone.
